We collect the least we can get away with, we use it only to answer you, and we never sell it. Here is the detail.

Who we are

Harwood Media is a design agency based at 734 11 Avenue SW, Suite 300, Calgary, AB T2R 0E4. We build websites and landing pages and manage advertising campaigns for our clients.

This policy explains what personal information we collect through this website, why we collect it and what we do with it. If anything here is unclear, email hello@harwoodmedia.ca and we will explain it in plain language.

What we collect

We only collect information you choose to give us, plus a small amount of anonymous usage data about how this website is used.

  • Information you submit through our contact form: your name, email address, company name if you provide one, the service you are interested in, your budget range and your message.
  • Information you send us directly by email or telephone.
  • Anonymous, aggregated analytics about page visits, such as which pages are viewed and roughly where visitors are located. This does not identify you personally.

Why we collect it

We use the information you submit for one purpose: to respond to your enquiry and, if we go on to work together, to deliver the project you have asked us to deliver.

  • To reply to your enquiry and answer your questions.
  • To prepare a written scope and quote for work you have asked about.
  • To communicate with you during a project, including our weekly written updates.
  • To keep records required for accounting and tax purposes.

What we do not do

  • We do not sell, rent or trade your personal information to anyone, for any reason.
  • We do not add you to a mailing list because you contacted us. If we ever start a newsletter, you would have to opt in deliberately.
  • We do not use your enquiry to retarget you with advertising.
  • We do not share your information with other clients or use your project details in our marketing without asking you first.

How long we keep it

Enquiries that do not become projects are deleted after twenty-four months. Records relating to projects we have delivered are kept for seven years, which is the retention period required for business and tax records in Canada.

You can ask us to delete your enquiry sooner at any time and we will do it, unless we are legally required to keep it.

Service providers

A small number of service providers process data on our behalf in order for this website and our business to function. Each is bound by its own privacy obligations and none of them are permitted to use your information for their own purposes.

  • Our website hosting and database provider, which stores contact form submissions.
  • Our email provider, which handles correspondence with you.
  • Our accounting software, for invoices and payment records once you become a client.

Cookies and tracking

This website does not set advertising or marketing cookies, and it does not track you across other websites.

We use privacy-friendly, cookieless analytics to understand which pages are useful. It records page views in aggregate and does not build a profile of you or identify you personally.

If we run advertising campaigns for our own business in future and that requires tracking, we will add a consent banner and ask you before anything is set.

Your rights

Under Canadian privacy law, including PIPEDA and Alberta's Personal Information Protection Act, you have the right to know what personal information we hold about you, to see it, to correct it and to ask us to delete it.

  • Ask what we hold: email hello@harwoodmedia.ca and we will tell you within thirty days.
  • Ask us to correct anything that is wrong.
  • Ask us to delete your information, subject to any legal retention requirements.
  • Withdraw consent for us to contact you at any time.

Security

Contact form submissions are transmitted over an encrypted connection and stored in a database that is not publicly accessible. Access is limited to the four people who work here.

No system is perfectly secure. If we ever became aware of a breach affecting your information, we would tell you and the relevant privacy commissioner promptly, as the law requires.

Changes and how to reach us

If we change this policy we will update the date at the top of this page. Material changes affecting how we use information you have already given us would be communicated to you directly.
